PRIVACY POLICY AND CONSENT TO USE OF DATA

DATA PROTECTION POLICY

This Data Protection Policy outlines how your Personal Data will be managed in accordance with the Personal Data Protection Act (“PDPA”). The PDPA protects personal data of individuals and this policy states the purposes for which we may collect, use and/or disclose your Personal Data.

You agree and consent to Cairnhill Methodist Church (“Church”) and our relevant Ministries collecting, using, disclosing and/or sharing your Personal Data in the manner set forth in this Data Protection Policy.

 

 

 

1. YOUR PERSONAL DATA

Personal data is defined widely to include “any data about an individual who can be identified from that data; or from that data and other information to which the organisation has or is likely to have access”. This includes personal particulars, medical records, educational records, financial records, pictures and videos, whether the data is stored in electronic or non-electronic form. Examples of such Personal Data include your name, NRIC, passport or other identification number, telephone number(s), mailing address, email address and any other information relating to you which you have provided to us as stated below. 

 

 

2. COLLECTION OF PERSONAL DATA 

Generally, the Church may collect your Personal Data in the following ways:-

  1. When you register with the Church as a member or visitor

  2. When you register to participate in the activities of the Church or the relevant Ministries

  3. When you access our website

  4. When you respond to our request for additional Personal Data

  5. When you request to be included in an email or other mailing list

  6. When you request that we contact you

  7. When you respond to our invitations or programmes

  8. When you submit your Personal Data to us for any other reason 

 

3. PURPOSES FOR THE COLLECTION, USE AND DISCLOSURE OF YOUR PERSONAL DATA

Generally, the Church may collect, use and/or disclose your Personal Data as provided in the Appendix herein.

Photos and videos taken during Church activities will be the property of the Church and can be used for its publications or similar purposes.

Written Parental/Guardian consent will be required for the collection, use and/or disclosure of Personal Data of persons below the age of 16 or those with certified medical/mental conditions. 

 

4. WITHDRAWAL OF CONSENT

If you wish to withdraw your consent to any use or disclosure of your Personal Data as set out in this Data Protection Policy, you may contact our Data Protection Officer.

The Church will on written notice of withdrawal of consent, appropriately dispose of or anonymize the information. 

            This will be done within 4 weeks of the request.

 

5. EXCEPTIONS FROM THE NEED FOR CONSENT TO COLLECT USE AND/OR DISCLOSE PERSONAL DATA INFORMATION INCLUDE:

  1. in an emergency situation;

  2. for investigation purposes;

  3. where information is available publicly;

  4. when information is required for evaluative purposes.

 

6. DISCLOSURE TO THIRD PARTIES

The church will disclose personal data third parties only on a required basis for the purposes that the personal data has been collected for.

 

7. RETENTION LIMITATION OBLIGATIONS

The Church will retain and maintain its personal data records for the purpose of engagement, operational planning of activities, as well as communication of events, programmes and church-related information. 

The Church will retain members’ baptism, membership, marriage and death data indefinitely for records purposes.

Other records will be kept up to 7 years and will be disposed of or anonymized if no longer needed.

8. SECURITY AND STORAGE

The Church shall adopt security arrangements that are reasonable and appropriate to the circumstances, while taking into consideration the nature of the personal data, the form in which the personal data is collected and the possible impact to the individual concerned if an unauthorised person were to obtain, modify or dispose of the personal data, in particular:-

a.    the protection of storage of personal data;          

b.    the securing of personal data against unauthorised access and theft.

            In the event of a breach, the Data Protection Officer shall be notified.

APPENDIX

Privacy Policy and Consent to Use of Personal Data

By interacting with, submitting information to or signing up for any organised activity offered by Cairnhill Methodist Church and her Ministries, you agree and consent to Cairnhill Methodist Church collecting, using, disclosing and sharing of your personal data, for the purpose of engagement, operational planning of activities, as well as communication of events, programmes and church-related information. Cairnhill  Methodist Church respects personal data and privacy, and will only share such information with third parties on a required basis. Should you wish to withdraw or limit your consent, please write with full particulars to our Data Protection Officer.
